YIMBY Action and Yes In My Back Yard (YIMBY) are seeking a detail-oriented and organized Operations Associate with a knack for databases to help grow the pro-housing movement.
YIMBY Action and Yes In My Back Yard (YIMBY) are affiliated 501(c)(4) and 501(c)(3) nonprofit organizations that work together to advance policy change that will increase the supply of housing in high-opportunity cities and towns. We advocate to increase the supply of all types of housing, including market-rate, subsidized affordable, and public housing. Our organizations envision an integrated and environmentally sustainable society where every person has access to a safe, affordable home near jobs, services, and opportunity.

What We're Looking For

The Operations Associate will provide critical support to all departments and all aspects of our mission. They will maintain and update the key databases that are the backbone of our organizing, marketing, fundraising, legal, and policy functions. They will schedule and coordinate meetings and events, especially to support YIMBY and YIMBY Action’s most important working groups and advisory committees. They will support bookkeeping and compliance. They will provide critical website and tech support.

This is an entry-level or early career role ideal for a young professional who is excited about building their skills in a range of database, tech, and financial systems, and eager to apply their organizational and data aptitudes to advance the YIMBY mission.

Responsibilities

Cross-functional data management (40%)

  • Collaborate with Organizing, Marketing, Legal, and Fundraising teams to build and maintain YIMBY and YIMBY Action’s key databases, primarily in Airtable.
  • Ensure that key data is kept up to date through data entry, automations, and activating staff members and volunteers to enter data. Look for opportunities to reduce duplication of information and optimize data structures.
  • Create views and dashboards for reporting of data, and provide regular reports to teams as needed.
  • Continually build knowledge and skills in Airtable and database best practices

Bookkeeping and Gift Processing (20%)

  • Support Managing Director with bill payments and bookkeeping; manage invoices, ensure bills are paid on a timely basis and expenses are coded correctly. Activate other staff members to submit receipts and help process staff and volunteer receipts each month.
  • Produce monthly reports for bookkeeper, including financial transactions, bank activity, and revenue reports.
  • Support fundraising team in gift processing; correctly log all gifts and issue tax receipts. Manage logistics of business membership program, including issuing invoices and maintaining business liaison data.
  • Assist with preparation of required tax documentation and other governance/compliance needs (990s, lobbying disclosure forms, state fundraising registration, audit materials, etc.)

 Meeting and events support (20%)

  • Support Organizing and Policy teams in scheduling key working groups and committees.
  • Coordinate logistics for working groups and committees, including Zoom setup and follow-up for virtual events and venue logistics, food arrangements, invitations, name tags, signage, and follow-up activities for in-person events.
  • Collaborate with national Events Coordinator to build organization-wide event templates and maintain a database of resources and vendors.
  • Communicate meeting details, assemble and edit meeting agendas and materials.
  • Attend meetings, take notes and follow up on action items as necessary.

Tech implementation and support (20%)

  • Support Digital Director in providing and documenting tech support for key tech tools and automations.
  • Help recruit volunteers for key tech initiatives; schedule and coordinate with volunteers to move tech projects forward.
  • Add and update content for YIMBY Action, YIMBY, and chapter websites.

Qualifications

You are our ideal Operations Associate if you are:

  • Deeply excited about the YIMBY mission and vision. You have a passion for more  housing and shelter of every type including market-rate housing, subsidized affordable housing, and public housing.
  • Passionate about clean data! You have experience organizing and maintaining large amounts of data, and you are excited about finding efficient ways to update and maintain data and keep it clean.
  • Proficient in Airtable, or you’ve worked with similar database systems and are able to pick up Airtable quickly.
  • Detail-oriented and conscientious: you’re confident in being the last set of eyes on critical documents; you “cross your Ts” and “dot your Is” and you proofread everything. You are hyper-organized and don’t let balls drop.
  • A quick executor: you are comfortable in a fast-paced workplace and can get a large volume of things done with efficiency. You have a proven ability to track multiple projects and manage multiple “moving parts” in a fast-paced, deadline-driven environment.
  • A constant learner—you are curious about the root of the problem and proactively ask questions and share ideas to get to the best solution. You are eager to continually build your knowledge and skills. You enjoy learning new tech tools and systems and building your proficiency.

YIMBY Action and YIMBY’s compensation is based on a comprehensive analysis of other nonprofit organizations, with an aim to offer highly competitive compensation in comparison to similarly sized nonprofits in the Bay Area. Salary offers within our posted compensation range are based on quantity of relevant experience and demonstrated success.

Schedule: Full time

Some flexibility of schedule, but internal staff meetings are held 10 am – 5 pm PT.

Location: depending on experience and qualifications.
Compensation:
$60,000–$70,000
